1. Who we are
MBA Car Specialist is a trading name of MBA Car Services Ltd, a company registered in England and Wales under company number 14681913, VAT registration number GB 435 5619 83. Our workshop and registered office is at 172 Bristol Road, Frampton Cotterell, Bristol BS36 2AX.
We are the data controller for the information described on this page. That means we decide what we collect about you and what we do with it, and we are responsible for looking after it.
Email mbacarservices@gmail.com, call 07951 651958, or write to us at the address above.
2. What we collect
When you get in touch
If you call, message us on WhatsApp or email us, we collect your name, the number or address you contact us from, your vehicle registration, the make and model, what the vehicle is doing wrong, and anything else you decide to tell us.
When you use the enquiry form
The form asks for your name, email address and a description of the problem, and optionally your phone number, the car and its registration. We use those details to answer you, and for nothing else. We do not add you to a mailing list.
Two emails go out when you send the form: one to the workshop, and a confirmation to you. Both are sent through Resend, an email service acting as our processor, on servers in the EU. Our reply comes from our own mailbox, not from Resend.
Session replay is switched off for form fields. Microsoft Clarity masks what you type, so what you write in the form is never in a recording.
When we work on your vehicle
We record the registration and VIN, the mileage, the fault codes and live data we read from the vehicle's systems, what we found, the work we carried out, the parts we fitted, and what you paid. Where those records point back to you as the owner or driver, they count as your personal data.
When you use this website
If you accept statistics cookies, our analytics tools collect your IP address, your browser and device, the region you are browsing from, which parts of the page you look at, and how you arrived. Microsoft Clarity also records a playback of the visit, including mouse movement, scrolling and taps, with text content masked.
None of that loads until you accept it. If you decline, or ignore the banner, the analytics tools never run. Our cookie policy lists every cookie by name.
3. Why we use it, and our lawful basis
| What we do | Why | Lawful basis |
|---|---|---|
| Answer an enquiry you send through the form, and confirm we have it | So you know it arrived and we can reply | Steps you asked us to take before entering a contract |
| Answer your enquiry and quote for the work | So we can tell you what is wrong and what it costs | Steps you asked us to take before entering a contract |
| Book the vehicle in, carry out the work, order parts, invoice you | To do the job you asked for | Performance of our contract with you |
| Keep a service and repair history | So we know what has already been done next time the vehicle comes in, and so we can stand behind our work | Our legitimate interests |
| Keep accounting and tax records | The law requires it | Legal obligation |
| Send an MOT result to the DVSA, where we test your vehicle | The law requires it | Legal obligation |
| Measure how this website is used | To see which parts of the site help people and which do not | Your consent |
Where we rely on legitimate interests, we have weighed what we need against what you would reasonably expect, and we keep the information to what the job needs.
4. Vehicle and registration data
We look up vehicle details from the registration using DVLA data and motor-industry technical services, so we identify the right specification and order parts that fit. A registration on its own is a vehicle identifier, but once we hold it alongside your name or contact details it becomes personal data, and we treat it that way.
5. Who else sees it
- Parts suppliers, when we order for your vehicle. They usually receive the vehicle details rather than your name.
- The DVSA, for MOT results, where we carry out the test.
- Our accountant, as part of our books and tax returns.
- Resend, which delivers the two emails the enquiry form sends. It processes them on our instructions, on EU servers, and does not use them for anything of its own.
- Google and Microsoft, for website analytics, and only if you accept statistics cookies.
- Bumper, if you choose to spread the cost of a repair. Bumper decides how it handles your application, so it acts as a separate controller and has its own privacy policy.
- Professional advisers, insurers or the authorities, where the law requires us to hand something over or we need advice on a dispute.
We do not sell your personal data, and we do not pass it to anyone else for their own marketing.
6. Sending data outside the UK
Google and Microsoft process website analytics data on servers in the United States. Those transfers rely on the UK Extension to the EU-US Data Privacy Framework where the receiving company is certified under it, and on the International Data Transfer Addendum to the standard contractual clauses where it is not.
7. How long we keep it
| Record | How long |
|---|---|
| Enquiries sent through the form | Kept in our email while we deal with them, then with the other enquiry records below |
| Enquiries that never became a job | 12 months |
| Service, repair and invoice records | 6 years after the last work on the vehicle, so we meet tax rules and can stand behind what we did |
| Google Analytics | Up to 14 months |
| Microsoft Clarity session recordings | Up to 30 days |
| Your cookie choice | 180 days, then we ask again |
8. Your rights
Under UK data protection law you can ask us to:
- Give you a copy of the personal data we hold about you.
- Correct anything that is wrong.
- Delete what we no longer need. We may have to keep invoice and repair records for tax and legal reasons even after you ask.
- Restrict what we do with it, or object to us relying on legitimate interests.
- Hand over the data you gave us in a portable format.
- Withdraw consent for analytics at any time, using the cookie settings link at the bottom of every page.
Email us and we will reply within one month. There is no charge.
9. If you want to complain
Please raise it with us first, because most things get sorted quickly that way. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
10. Keeping it safe
We limit who can see customer records to the people who need them to do the job, we keep our devices and software up to date, and we use reputable suppliers for the systems we rely on. No system is completely secure, so we do not promise that nothing can ever go wrong, but we do take it seriously and we will tell you and the ICO if a breach puts you at risk.
11. Children
Our services are for adults, and we do not aim any part of this website at children or knowingly collect their data.
12. Changes to this policy
When we change how we handle personal data, we update this page and change the date at the top. If a change matters to you, we will say so clearly rather than quietly editing the text.
